We use your personal details to provide you with information, products or services that you request from us.

The University of Edinburgh is committed to protecting your privacy and keeping you informed of how your information is used. We will only record your personal details in the manner and for the purposes set out in this privacy notice. Data will be kept secure from unauthorised access, use or disclosure. For purposes related to your enrolment on a course and delivering the course to you, we will process your personal data on the lawful basis of Contract. Where you opt to receive information from us about courses, events or open days then for this purpose we will process your personal data on the lawful basis of Consent.

Cookies we use for the Short Course Platform

We do not use profiling or automated decision-making processes.

Storage of your personal data

We have put in place appropriate measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal information on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

The short course platform may contain links to and from websites of third parties. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to us over the internet, and any such transmission is at your own risk. Once we have received your information, we will use strict procedures and security measures to try to prevent unauthorised access.

Data Retention

We will delete your user account five years after the end of the last course on which you have enrolled, unless you enrol on another course in that period. For flexible courses, the course end will be defined as the time your access to the course expires. We will email you in advance of this to let you know that your user account is due to expire.

Passwords

You must keep any user and password details we provide you with secure, as detailed in the relevant Terms of Use.

Online transactions

All payment transactions will be encrypted.

Areas of the short course platform that process online transactions make use of - and transfer data to - third party software and service providers. All third-party software and service providers that we use are compliant with the relevant Payment Card Industry standards.

Disclosure of your information

We will not share, sell or distribute any of the information you provide to us without your consent, except where disclosure is necessary to enforce our rights, including those detailed in the short course platform's Terms and Conditions of use (for more information please read the Terms of Use website).

Authorised personnel within the University will be able to access the information you provide to us. Unless required to do so by law, we will not share, sell or distribute any of the information you provide to us without your consent. To comply with statutory requirements, we are required to share your personal information with external agencies, particularly for the purposes of detection or prevention of crime or fraud. The University of Edinburgh may also disclose your personal information to any subsidiary of the University of Edinburgh, for the purposes in this privacy statement.

Who we share data with

The University will only transfer data to countries outside the UK or EEA when satisfied that both the party which handles the data and the country in which it is processed provide adequate safeguards for personal privacy.

Access, update, unsubscribe or have your information deleted

You have the right to ask for a copy of the information held by us in our records. If you would like a copy of this information, please contact us using the details below. We want to make sure that your information is accurate and up to date. You may also ask us to correct or remove any information you think is inaccurate.

If any information held by us is incorrect, you have the right to ask for this to be corrected and updated. Please help us keep our records updated by informing us of any changes to your email address and other contact details.
